Per § 720.303(4), your HOA must maintain these categories of official records.

Governing documents — articles of incorporation, bylaws, declaration, rules
Meeting minutes — board meetings, annual meetings, committee meetings (7-year retention)
Financial records — annual budgets, financial statements, receipts, expenditures (7-year retention)
Assessment records — assessment rolls, collection records, delinquency records
Insurance policies — current certificates and claims history
Contracts — all vendor and service contracts currently in effect
Reserve study — most recent reserve study and funding plan
Member roster — current names, addresses, and lot numbers
Structural inspection reports — milestone inspections (permanent retention per HB 913)

PII redaction

Per § 720.303(5)(g)6, all of the following must be removed before disclosure.

Social security numbers — full or partial, on any document
Driver license numbers — and other state-issued ID numbers
Credit card numbers — on payment records
Email addresses and phone numbers — unless voluntarily provided for association use
Medical records — health records, disability info, insurance details

Member access

Per § 720.303(5), your association must provide access to records.

Respond within 10 business days of receiving a written records request
Allow inspection during business hours — or at a mutually agreed time
Charge no more than $0.25/page for copies
Never require a reason — members have an unconditional right to inspect

Budget and reserves

Per § 720.303(6) and SB 4-D, your HOA must maintain reserves.

Adopt an annual budget for each fiscal year
Conduct a reserve study to determine funding levels
Fund structural reserves — roof, structure, plumbing, electrical, waterproofing, windows, parking (no waiver)
Disclose reserve balances and any shortfalls in the budget
